Before Automating Fees, Connect the Service to the Invoice
An operator suspects that handling services are going unbilled. The proposed solution is a more flexible pricing engine.
First establish whether the platform records that the service happened.
Microsoft's charge configuration provides a concrete example of rules scoped to customers, items, and different charge bases. Rules can express pricing, but the wider operating process still needs to establish which transaction should receive a charge. Microsoft automatic-charge documentation.
Review five separate questions
For a forwarding or warehouse service, we recommend tracing:
- Evidence: Was the service performed and recorded against the correct package or account?
- Eligibility: Which approved commercial rule applies?
- Exceptions: Was the service bundled, discounted, waived, or corrected?
- Invoicing: Did the approved charge reach the relevant invoice?
- Collection: Was the amount actually paid or otherwise resolved?
A missing link can be a process problem, a rule problem, or an integration problem. More calculation options will not fix all three.
Use a sample rather than an annual claim
Take a completed period and compare service records with invoices. In a hypothetical repacking example, a zero invoice line might be an error, an authorized waiver, or part of an inclusive service price.
Classify the reason before estimating an opportunity. Separate confirmed discrepancies, amounts eligible for correction, corrected invoices, and collected revenue. Avoid multiplying one unusual sample across the whole year.
Choose the smallest useful improvement
The next step might be a receiving-screen prompt, clearer waiver approval, a reconciliation view, or a billing integration. Define the responsible person and a measurable review outcome before commissioning a broad rebuild.
Use Blinkshift's fee-reconciliation worksheet when available through the Contact page, or bring one service-to-invoice example to a systems call. The purpose is to establish what needs fixing, not to promise recovered revenue before checking the records.
