One Exchange-Rate Field Cannot Explain Every Cross-Border Charge

By Blinkshift Team2 min read

Finance changes a currency rate to reconcile a payment. An older shipment calculation now shows a different amount. The platform used one shared rate for several different purposes.

That design can hide the business reason a conversion was made.

For a specific jurisdictional example, Australian Border Force states that foreign currency for customs valuation is converted using the rate prevailing on the day of export of the goods. This is an Australian rule, not a formula to apply across Caribbean or other destinations. Australian Border Force exchange-rate guidance.

Start with purpose, not a live-rate feed

Our recommendation is to separate the decisions your operation makes. A customer quote, a required valuation calculation, and a provider settlement may use different dates, sources, or commercial arrangements.

Have the responsible finance and trade specialists specify the applicable basis. Engineering should then preserve the approved context rather than choose whichever rate happens to be current.

Make a conversion explainable

For each relevant record, consider storing source and target currency, original amount, conversion purpose, rate source, applicable date, rounding method, and result.

Decide what happens when the rate is missing or corrected. Does the work stop for review? Is an estimate allowed? Who can approve an adjustment? Those are business rules to establish before automation.

In a hypothetical scenario, a customer invoice and payment settlement differ because the bank settles later under different terms. Preserve both records and the reconciliation outcome instead of changing the historical invoice to force a match.

Review a real discrepancy

Choose a redacted transaction with more than one currency. Can the team explain each conversion without opening a spreadsheet maintained by one person? Is the applicable jurisdiction and purpose unambiguous?

That review identifies the records and controls you need. Discuss the workflow or explore Cross-Border Logistics.
