Fee-Reconciliation Worksheet

Use a small sample of packages to compare services performed with charges invoiced. This is a review aid, not an audit or a promise of recovered revenue.

What's in the file

Four Tabs, One Sample Review

How to use

The five steps, the privacy note, and which cells to fill in.

Sample details

Billing period, route or service, package count, currency, pricing rules, exclusions, whether the sample represents the wider operation, reviewer, and review time.

Package review

One row per package: reference, service recorded, expected fee, invoiced fee, the difference (calculated), difference type and likely cause (dropdowns), eligible for correction, amount corrected, amount collected, and notes.

Summary

Calculated counts and totals by difference type and cause, with under-billed, eligible for correction, corrected, and collected kept separate. Over-billing is shown on its own line, not netted.

How to use it

Five Steps From Sample to Next Step

Choose a comparable sample

A recent completed billing period and one route or service, with ordinary cases and known exceptions.

Compare records

One row per package, with the expected fee under your agreed rules and the invoiced fee.

Classify differences

Correct charge, timing difference, missing or incorrect invoice entry, missing service evidence, or rule ambiguity.

Decide what matters

Keep differences found, eligible for correction, corrected, and collected separate. Don’t annualize an unusual sample.

Choose a next step

Assign an owner, test a fix, and ask whether a process change solves it before software.
