On Hand Does Not Mean Available: Define Inventory States Before Syncing
The warehouse shows units on the shelf, while the store shows fewer units for sale. Someone proposes forcing both numbers to match.
That could make the records less accurate if some physical units are already committed or held.
Shopify's developer documentation distinguishes on-hand, available, committed, and other inventory states. It describes incoming stock separately from units physically present at a location. These are Shopify's documented meanings; another system's names and transitions must be checked independently. Shopify inventory-state documentation.
Map meaning before field names
Our recommendation is to create a state-mapping worksheet. For each quantity, identify its business meaning, location, owner, source system, and the events that change it.
Define which system controls sales commitments, physical receipts, inspection holds, and adjustments. A single “quantity” field cannot safely carry every meaning across an integration.
Walk through one hypothetical item
Suppose 20 units are physically present, five are committed to orders, and two are held for inspection. The sellable amount may differ from the shelf count under the agreed rules.
Do not fix the difference by changing physical stock solely to match an available quantity. Trace the commitments and holds, and verify that both systems represent them consistently.
Also check location identifiers. A correct number assigned to the wrong fulfillment location still creates an operational problem.
Test transitions, not only totals
Demonstrate receiving, order placement, cancellation, fulfillment, inspection release, and an approved stock adjustment. For each transition, confirm the originating system and the intended changes elsewhere.
Include delayed or repeated updates in the integration review. Reconcile at a defined point rather than assume every momentary difference is an error.
Your business rules determine which stock can be promised. The integration should preserve those rules. Explore Warehouse Management or review your inventory mapping.
