A Queued Shipment Request Is Not a Completed Shipment
An operator submits a shipment and sees a success message. Later, the packing team cannot find the label. Was the shipment created, rejected, or still processing?
The interface may have mistaken acknowledgment for completion.
FedEx's Open Ship documentation describes asynchronous processing in which the initial response confirms queuing and returns a job identifier. The final result must be retrieved separately and can contain labels or errors. That behavior belongs to the documented workflow; it should not be assumed for every carrier endpoint. Give each state an operational meaning
Our recommendation is to define states with the people using the system:
- Submitted: the request has been recorded.
- Processing: the provider has accepted work for later completion.
- Completed: the required result has been retrieved and stored.
- Needs review: an error or unresolved condition requires action.
Decide what staff may do in each state. Can they pack, print, dispatch, amend, or cancel? A processing badge should not silently authorize the next physical step.
Make recovery part of the workflow
Consider a hypothetical request whose result-retrieval step fails temporarily. The local application should preserve the job reference and show that the outcome remains unresolved.
Before allowing a new submission, establish how the integration can determine the existing request's outcome. A retry policy must follow the provider's actual capabilities; blindly creating another request can add uncertainty.
Give the review queue an owner, an age indicator, and the information needed to investigate. Store provider references and relevant responses with appropriate access controls.
Test beyond the happy path
Ask for demonstrations of a delayed result, a processing error, an unavailable result service, and a user returning after closing the browser. Confirm what staff see and which actions remain blocked.
The useful acceptance criterion is an understandable outcome and recovery path, not merely a successful HTTP response. Discuss a shipping integration or review Shipping & Insurance Platforms.
