Custom Logistics Software, an Integration, or a Better Use of What You Have?
Your team has a recurring problem. The current tools need manual work, and a custom platform sounds like a way to gain control.
Before choosing a build, establish which part of the problem requires different software.
Microsoft's fit-to-standard and fit-gap guidance recommends evaluating standard functionality before introducing justified extensions. It also cautions against recreating legacy processes through unnecessary customization. Although written for Dynamics implementations, it provides a useful reference for the decision sequence. Compare four options against the same examples
Our recommendation is to use a normal workflow and a recurring exception as test cases.
| Option | Question to investigate |
|---|---|
| Improve the current setup | Can configuration, training, data cleanup, or process clarification meet the need? |
| Adopt an existing product | Does a supported product handle the important requirements at an acceptable overall cost? |
| Add an integration or module | Can a defined gap be addressed without replacing the wider operation? |
| Build a broader platform | Are the unsupported requirements important enough to justify delivery, transition, and ongoing ownership? |
Make the business outcome explicit
In a hypothetical forwarding operation, staff re-enter service charges into accounting. The problem might be a missing connection rather than an unsuitable forwarding platform.
Alternatively, the charge process may be unclear even to the people doing it. Automating that uncertainty would preserve the confusion. Agree the desired result and the approved rules first.
Compare total effort, not just the quote
Include access and integration constraints, data preparation, migration, training, hosting, provider charges, support, and the internal time needed to own decisions. Consider what an existing product already supplies before comparing its subscription with a development price.
Record the important gaps and the evidence behind each. A short discovery engagement may be useful when the uncertainty prevents a responsible decision; it should have defined outputs and a price.
